Office Manager

Position Summary

Stakeholder Midstream, LLC is seeking a skilled Office Manager to provide administrative support to Stakeholder’s corporate office. This position will be based in San Antonio, TX and provide in-person administrative support to Stakeholder’s Executive Team as well as the corporate office team.  The person in this role will be a key team player in the Stakeholder organization with regular touchpoints throughout the organization and will be a driving force with the opportunity to add significant value. The person in this role will be responsible for proactively coordinating schedules, reviewing incoming and outgoing communications, and assist with additional in-person responsibilities such as setting up meetings and corporate events. In addition, this role will be responsible for overall office activities, as well as leading and managing all administrative staff, which includes both corporate and field operations administrators.  This position will also assist in HR relations to include employment matters, organizational issues, and application of policies and procedures. The Office Manager will be required to work collaboratively with all areas of the business.  

Job Functions and Responsibilities:

  • Manage day-to-day operations of the office
  • Budget and manage office related operations, including inventory and general office supplies as well as communications and relationship with vendors who support office space (office building landlord, PEO, copier company, Parks Coffee, caterers, promotional material suppliers, and IT support group)
  • Manage administration team both corporate and field
  • Manage HR related matters including payroll, PTO, overtime and the onboarding and termination process for employees
  • Initiate, develop and implement HR related programs and/or projects
  • Provide daily operational support and guidance for company policies, processes, programs, etc.
  • Responsible for both internal and external written communications
  • Manage executive calendars and commitments
  • Responsible for coordination of corporate travel including hotels, airfare, and rental cars
  • Track and maintain designated conference room schedules for availability and efficient use of resources
  • Collaborate on management and planning of corporate and customer events and project managing those events

Qualifications:

  • Minimum of 5 years of work-related experience
  • Strong team player and influencer
  • Strong attention to detail and accuracy with excellent analytical skills
  • Trusted individual who can maintain highest levels of confidentiality regarding sensitive company and employee matters
  • Attitude of service/servant leadership
  • Advanced computer skills with demonstrated experience in Microsoft Office products, with a focus in Excel and Word
  • Must have excellent organizational skills including clear and succinct writing for legal requirements, dependable and able to work in a fast-paced setting, multi-task, set priorities and complete tasks in a timely manner
  • Ability to verbally communicate a wide variety and types of information to multiple audiences
  • Ability to work logically, effectively, and professionally with all levels of management and with all types of employees and customers
  • Strong interpersonal skills with the ability to lead change 
  • Possess and maintain a valid driver’s license to include a safe driving record satisfactory to the company
